1. Who we are
Baby-Hunch is a service of Inprovo VOF, a company based in the Netherlands. Inprovo VOF is the data controller for all personal data processed through Baby-Hunch.
For privacy-related questions you can reach us at info@baby-hunch.com. Our full contact details are at the bottom of this page.
2. What data we collect
Account data
- Name and email address (at registration)
- Due date and, after birth, the date of birth and optionally the name, time of birth, birth weight and length of the baby
Content you add yourself
- Personal messages, photos, predictions and wishes that you or your participants add to the baby pool
- Order details for the baby pool book (address and delivery information)
Technical data
- IP address and browser information (for security)
- Session data (to keep you logged in)
- Visit origin, such as UTM parameters or affiliate codes
Payment data
- Payment details are processed by our payment provider and are not stored by us
3. Why we collect this data
We process your data for the following purposes:
- Service delivery: providing the baby pool functionality and all related features
- Authentication: sending magic login links to give you secure access to your account
- Book production: assembling, printing and shipping the baby pool book
- Payments: handling premium upgrades and orders
- Communication: sending transactional emails and updates about your pool
- Product improvement: analysing anonymous usage statistics to improve the service
- Security: protecting your account and data
- Marketing: showing relevant ads on platforms such as Meta, provided you have given consent
The legal basis for processing is the performance of the agreement you enter into with us (Article 6(1)(b) GDPR), our legitimate interest in security and quality control (Article 6(1)(f) GDPR) and, where applicable, your consent (Article 6(1)(a) GDPR).
Before a baby pool book is sent to the printer, we carry out a brief visual check of the layout to avoid printing books with errors. Only Inprovo staff with admin rights can access these previews. This check falls under our legitimate interest in quality control.
4. Who we share data with
We share your data only with parties that are necessary for the service:
- A European hosting provider for hosting and media storage (servers located in Germany, EU)
- A European payment provider for handling payments (Netherlands, EU)
- A transactional email provider based in the United States. For EU and UK residents, this transfer takes place under the EU-US Data Privacy Framework (and its UK extension), with Standard Contractual Clauses as an additional safeguard where applicable.
- An external print partner in the Netherlands (EU) for printing and shipping baby pool books. We only share your name, address and city together with the PDF file of the book. The print partner ships via its own carrier.
- An advertising platform (only if you have given consent), to measure the effectiveness of our advertising and show relevant ads. We share a hashed email address, IP address and browser information.
The names of the parties we work with are available on request via info@baby-hunch.com.
We never sell your data to third parties. We do not use your content for advertising or AI training. In specific cases we may be required by law to share data in connection with tax or criminal investigations.
5. Where data is stored
All data is stored on servers within the European Union (Germany). Photos and other files are also stored within the EU.
6. Security
We take the security of your data seriously:
- All connections are encrypted (HTTPS/TLS)
- Access to account data is limited to authorised Inprovo staff
- Passwordless login via magic links (no passwords to be leaked)
- Files are served through signed, temporary URLs
If a data breach occurs despite these measures, we will notify the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) within 72 hours. If the breach poses a high risk to your rights and freedoms, we will also inform you personally.
7. Retention
Your data is kept for as long as you have an active account. If you delete your account, all data will be permanently deleted within 30 days, including photos and messages from participants.
PDF files of ordered books are kept for the lifetime of your account, so that reprints, complaints or repeat orders remain possible.
For invoices of completed payments, a statutory tax retention period of 7 years applies. We keep these invoices separately from your account data, even after your account is deleted.
You can request deletion at any time by emailing info@baby-hunch.com.
8. Communication about our own products
From time to time we may send you an email about new features in Baby-Hunch or about related services from Inprovo VOF that are likely to be useful to you. We do this sparingly, only when relevant, and never on a recurring schedule.
This communication falls under our legitimate interest in keeping you informed about our own services (Article 6(1)(f) GDPR). Every non-transactional email contains an unsubscribe link at the bottom. We honour unsubscribes immediately.
For marketing by third parties or for sharing your data with external parties for commercial purposes, we always ask for explicit consent.
9. Baby pool participation
The data that you or your participants fill in when joining a baby pool is only visible to:
- The owner of the pool (the expecting parent)
- The participant themselves, for their own entry
Personal messages and photos from participants are processed only to display them within the pool and for inclusion in the personalised baby pool book, if the pool owner orders it.
Participants agree to this processing by joining the pool. The pool owner is responsible for sharing the pool link with invitees.
10. Your rights
Under the GDPR (and the UK GDPR if you are in the United Kingdom) you have the following rights:
- Access: you can request a copy of the data we hold about you
- Rectification: you can have incorrect data corrected
- Erasure: you can ask us to delete your data
- Portability: you can request your data in a machine-readable format
- Restriction: you can ask us to restrict the processing
- Objection: you can object to the processing
You can exercise these rights via info@baby-hunch.com. We will respond within 30 days.
You also have the right to lodge a complaint with the data protection authority in your country of residence. EU residents can find their national authority at edpb.europa.eu; UK residents can contact the ICO at ico.org.uk.
If you reside in California or another US state with a consumer privacy law, you may have additional rights, such as the right to opt out of the sale of personal information. We do not sell personal information.
We do not process your data in a way that is subject to automated individual decision-making or profiling.
11. Cookies
When you first visit Baby-Hunch we ask you via a banner whether you consent to cookies. You can choose "Accept", "Decline" or adjust the categories yourself. Your preference is remembered for 1 year and can be changed at any time via the link in the footer.
Operational cookies
These cookies are needed to make the website work (session, protection against CSRF attacks, remembering your cookie choice and any affiliate code). No consent is required for these cookies and they cannot be turned off.
Statistics
We use Matomo to anonymously track how visitors use the site. Matomo is hosted on our own servers, IP addresses are anonymised and the data is never shared with third parties. As Inprovo VOF is based in the Netherlands and Matomo is configured in this privacy-friendly way, no separate cookie consent is required for this under Dutch law.
Marketing
If you accept marketing cookies, we use the Meta Pixel and Conversions API to measure the effectiveness of our advertising and to show relevant ads on Facebook and Instagram. We share limited data with Meta Platforms Ireland Ltd.: a hashed email address, IP address and browser information. Meta retains this data according to their privacy policy (24 months by default). You can withdraw your consent at any time via the cookie settings at the bottom of the page.
Visit origin
If someone arrives via an advertisement or campaign link, we store the origin (such as utm_source) in our own administration to see internally which campaigns work. This data is not shared with third parties.
12. Changes
We may update this privacy policy from time to time. We will notify you by email of material changes. The latest version is always available on this page.
